Who We Are

We are a Queer-owned and run liberatory somatics practice. We offer acupuncture, herbal medicine, and somatic therapy for the communities we come from: LGBTQIA2+, neurodiverse, all bodies, Bodies of Culture (BIPOC), children, families, and youth.

Who You Are

An administrator with at least 2-3 years of experience, emotional intelligence, and an intersectionality and unlearning practice who learns quickly, takes feedback well, and is very well-regulated. You know how to prioritize in an environment with multiple demands and you work quickly and meticulously. You value direct communication and yourself communicate clearly, directly, and kindly. You’re looking for a job that you can stick-with, grow with, and feel aligned with.

The Job: Big Picture

  • You are the first (and continuing) point of contact for all of our clients and patients.

  • You support our amazing team.

  • You tend to our beautiful physical space.

  • You complete and troubleshoot billing (including 2 insurance providers).

  • You ensure practice policies are upheld both by our clients/patients as well as by our team.

  • You make it so our therapists and acupuncturists can focus on working with our clients/patients and their own learning in somatic trauma transformation and abolition.

Hours, Compensation, and Benefits

  • 20 hours/week, this is not a remote position, work is located in-person at our Burlington offices

    • Mondays 9AM-1PM

    • Tuesdays, Wednesdays and Thursdays 1.15-6.30PM

  • $25-30/hour depending upon experience

  • 2 weeks PTO

  • Roth IRA with up to 3% employer match

  • 2 same-day acupuncture appointments/month

NOTE: This is an in-person position located at our Burlington, VT practice space. This position cannot be done remotely.

Job Description: The Nitty Gritty

(Please note: this is a W-2 employee position including workers compensation coverage and all the benefits and rights of being an employee)

Patient Communications and Scheduling:

  1. Monitors and responds to business phone, texts and EHR messages and triages clinical questions to the appropriate therapist

  2. Manages the practice email inbox

  3. Qualifies clients and schedules clients for Curiosity Calls with yourself (!) or therapist if needed

  4. Calls or texts people who registered in EHR but have no appt scheduled

  5. Calls or texts people who have registered for a Curiosity Call to ensure the insurance we take (Medicaid for mental health and BCBS for acupuncture) or private pay

  6. Schedules intakes for our acupuncturist

  7. Ensures acupuncture patients have appts scheduled according to their tx plan (weekly, bi-weekly, or monthly), reaching out to them to help schedule as necessary

  8. Monitors acupuncturist and therapists’ calendar to proactively offers clients cancellation spots as appropriate 

  9. Verifies acupuncture benefits for patients with BCBS VT (through Claim.MD)

  10. Verifies mental health benefits for patients with VT Medicaid (called “Green Mountain Care”) through the Medicaid portal

Space Tending:

  1. Ensure plants watered, garbage taken out, paper towels stocked, general cleanliness (you’re not expected to do more than spot-cleaning and some vacuuming especially during Winter with salt and Fall with leaves)

  2. Change over acupuncturist’s tables between each patient in an expedient and thorough manner

  3. Welcome clients/patients as they arrive, reminder re: shoes and masks

  4. Operate music on practice-wide speakers

Inventory, billing, and paying vendors:

  1. Processes billing (charging cards and submitting insurance claims), 4 days/week

Orders herbal formulas, supplements, and acupuncture supplies

  1. Updates inventory in EHR

  2. Arranges drop-ship orders for patients of herbs and supplements

  3. Processes ERAs in our EHR

  4. Submits corrected claims to BCBS VT and Medicaid as needed

  5. Pay all bills not on autopay

Marketing:

  1. Post blogs (Rebecca writes) to website

  2. Completes registration for community events (4x/year) such as Pride, mental health/wellness fairs

  3. Orders new business cards, tincture labels,and signage 2x/year

  4. Takes a “road trip” within Burlington quarterly to hang up posters/flyers

  5. Update website and therapy listings twice a month (updating availability or putting up “announcement banners”)

  6. Manages any paid advertising (ad hoc)

  7. Maintains contact with referral sources 

Personnel:

  1. Responds to administrative support requests from team

  2. Responds to therapists’ HR requests including time off and medical leave requests

  3. Runs note reports 3x/month with requested deadlines for completion, and tracks progress

  4. Audits assessments and tx plans weekly for all new therapists in first 3 months of work

  5. Runs “clinician cancelled” reports to ensure continuity of care

Licensing and Compliance:

  1. Complete any final requests for Medicaid credentialing under Group NPI (NPI 2) for new somatic therapists joining the practice

  2. Complete acupuncturist’s professional licensing renewal forms and payment (every two years)

  3. Renew Burlington business license (annually)

  4. Renew acupuncturist’s CAQH listing every 3 months

    1. 2-3 years relevant experience in administration at a medical or complimentary medicine practice

    5. Highly organized

    6. Ability to prioritize, focus, and complete tasks efficiently while maintaining calm demeanor and kind, clear communication

    7. Track and complete multiple tasks accurately and efficiently over the course of your shifts

    8. Experience using practice management software, improving office systems, and supporting staff to access them

    9. Ability to sit for long periods, walk briskly and repeatedly between treatment rooms (~25 feet) and between building door and our door (~100 feet), complete large body movements to clean/change tables every 30 mins

    10. Ability to lift and maneuver up to 20lbs

    12. Must reside within 15 miles of Burlington office 

    1. 3+ years of experience as a practice manager at a medical or complimentary medicine practice

    2. 2+ years experience in medical billing, especially VT Medicaid and BCBS

    3. Familiarity with and or experience as a client/patient of Chinese Medicine and/or somatic therapy

    4. Experience working with Simple Practice and/or Acubliss
